Why Xero + Wise?

Xero handles the bookkeeping, VAT and the aged payables list. Wise Business pulls those approved bills directly from Xero into a clean, batchable pay run. Together they remove almost all of the manual steps from supplier payments — without sacrificing any control.
How the workflow works in practice
Client captures the invoice — three easy ways
Suppliers email invoices straight to the client's dedicated Xero email address, the client snaps a paper invoice on their phone using the Xero mobile app, or they drag and drop a PDF into Xero. Either way, the invoice lands in the Xero inbox within seconds — no printing, no filing, no lost paperwork.
We review, code and check the VAT
Our bookkeeping team picks the invoice up from the Xero inbox, confirms the supplier, sets the correct nominal code, checks the VAT rate is right (standard, reduced, zero, exempt or reverse charge) and attaches the original document to the bill. Nothing gets approved until the figures are correct.
We approve the bill into the ledger
Once reviewed, the bill is approved in Xero and immediately appears on the aged payables report with its due date. Your books are now genuinely up to date — what you owe, to whom, and when.
We notify the client that bookkeeping is done
You get a short message (usually weekly) letting you know the inbox is cleared, bills are coded and the payables list is ready for review. No chasing, no guessing what's outstanding.
Client logs into Wise and selects bills to pay
Wise pulls the approved bills directly from Xero. You log into your Wise Business account, see the live list of outstanding supplier invoices, tick the ones you want to pay, and add them to a pay run. It's genuinely just a few clicks.
One approval clears every supplier
Wise generates a single batched payment, you approve it once (with two-factor authentication), and every supplier is paid — often the same day, often at near-zero FX cost on international payments.
Bank feed reconciles automatically in Xero
Each Wise payment flows back into Xero through the bank feed and matches itself against the original bill. No manual reconciliation, no orphan transactions, no end-of-month clean-up.

Common Questions
Do I need a Wise Business account specifically?
Yes — the Xero integration runs through Wise Business, not the personal Wise account. Setup is quick and the account is free to open; you only pay per transfer (and at very competitive rates).
What if I want to use my normal high-street bank instead?
That's fine too. Xero can generate a payment file (BACS or your bank's own format) which you upload into your business banking. The principle is the same — bills are approved in Xero first, then paid in a single batch. Wise just makes the link tighter and the FX cheaper.
Who actually presses 'pay'?
You do, every time. We prepare and approve the bills in Xero, but the final payment approval in Wise is always the client's. It's usually a single tap on your phone.
Does this work for businesses that pay overseas suppliers?
Especially well. Wise's mid-market FX rates and same-day international payments mean you save real money compared with traditional bank wires — often hundreds of pounds a month for businesses paying suppliers in EUR or USD.
How do paper invoices fit in?
Snap them with the Xero mobile app. The photo is uploaded into the Xero inbox automatically with OCR, ready for our team to code and approve. No need to keep the paper afterwards — Xero stores it as the digital record HMRC requires.
