    How to Handle Receipts and Expenses in Xero

    Company-paid receipts go into Xero as bills. Personally-paid items go in as expense claims. Getting this right keeps your books clean and your VAT returns accurate.

    The Golden Rule

    Every receipt or invoice you add to Xero should match a transaction that came out of the company bank account or company credit card. This is how Xero's bank reconciliation works — it pairs the receipt you uploaded with the payment it finds on the bank feed.

    If you upload a receipt for something you paid for personally, Xero has no matching bank transaction. The receipt sits as an unexplained item, cluttering your books and making reconciliation, VAT returns, and year-end significantly harder than they need to be.

    If the Company Paid for It

    When the company bank account or credit card was used to pay for something, you have two quick options:

    Snap it with the Xero app

    Open the Xero app on your phone, take a photo of the bill or receipt, and it will create a draft bill automatically. Xero reads the supplier name, amount, and date from the image.

    Email it to your Xero address

    Forward the invoice or receipt to your dedicated Xero email address. You'll find this in Xero under Business → Bills to Pay → New Bill — it looks like something@xerofiles.com. The invoice lands as a draft bill, ready to be matched when the bank transaction appears.

    Either way, the receipt ends up in your Bills to Pay and Xero will match it to the corresponding bank transaction during reconciliation. Clean, tidy, done.

    If You Paid for It Personally

    If you used your own money — personal bank card, cash, personal credit card — do not upload the receipt into Xero the normal way. Instead, create an Expense Claim.

    Here's how:

    On desktop

    Log in to Xero → go to Business → Expenses → click New Expense. Fill in the details and attach the receipt.

    On mobile

    Download the Xero Me app (separate from the main Xero app). Tap the + button to create a new expense, snap a photo of the receipt, and submit it.

    Approval and reimbursement

    The expense claim is reviewed and approved. The company then reimburses you — and that reimbursement is the transaction that appears on the bank feed, keeping everything matched.

    Why Getting This Wrong Creates Problems

    When receipts are added to Xero for items that were not paid from the company bank account, Xero cannot reconcile them. This leads to:

    • Unmatched items piling up — draft bills with no corresponding bank payment create clutter and confusion.
    • Messy bank reconciliation — your accountant or bookkeeper has to investigate every orphaned item, costing time and money.
    • VAT return errors — items may be double-counted or missed entirely if the source of payment is unclear.
    • Year-end delays — the more unresolved items in Xero, the longer (and more expensive) it takes to prepare your annual accounts.

    With a high volume of invoices and receipts, this matters even more. Keeping the two streams separate — company-paid into Bills, personally-paid into Expenses — is the single most effective thing you can do to keep Xero running smoothly.

    What if I pay for something personally but it's a genuine business cost?

    Use the Xero Expenses feature (desktop) or the Xero Me app (mobile) to create an expense claim. Attach the receipt to the claim. This keeps the transaction separate from the bank feed and ensures the business owes you the money back through the proper channel.

    Why does it matter which method I use?
